1. Introduction
These Terms and Conditions govern your use of the BookaTrot platform, which facilitates online bookings for horse riding experiences offered by third-party riding schools, instructors and holiday providers (“Riding Providers”).
By accessing or using the BookaTrot platform, you agree to comply with and be bound by these Terms. If you do not accept these Terms in full, you must not use the platform.
2. Nature of Service and Fees
2.1 BookaTrot is a booking facilitator and marketplace that connects users (“Customers”) with independently operated riding schools and instructors (“Riding Providers”). BookaTrot does not operate or manage any horse riding experiences itself.
2.2 Riding Providers are not agents, employees, or affiliates of BookaTrot. Each is an independent contractor responsible for their own services, legal compliance, and liabilities.
2.3 BookaTrot provides its platform free of charge to Riding Providers. Customers are subject to a payment processing fee of 2.5% + £1 booking fee.
2.4 All prices shown on the website are in the local currency of the country where the relevant Riding Provider operates.
3. Booking, Cancellations, and Refunds
3.1 Customer Cancellations

3.1.1 All bookings are governed by the individual cancellation policy of the Riding Provider.

3.1.2 Cancellations that meet a provider’s terms will result in a refund, which will be issued as BookaTrot store credit, including any processing fees.
3.2 Refunds After Completed Sessions

3.2.1 All sessions are non-refundable unless exceptional circumstances apply.

3.2.2 Customers may request a refund within 14 days of the session. Approval is at the sole discretion of the Riding Provider.

3.2.3 BookaTrot has no obligation to enforce or issue refunds on behalf of a Riding Provider.
4. Rider Responsibilities and Safety
4.1 Riders must comply with all safety instructions provided by the Riding Provider and its staff.
4.2 Participation is at the rider’s own risk. Riders must be in suitable physical condition and free from any condition that could be aggravated by horse riding.
4.3 All riders are required to wear appropriate safety gear, including industry-approved riding helmets.
4.4 BookaTrot accepts no liability for any injuries, damages, or losses incurred during participation in horse riding activities.
5. Age and Consent Requirements
5.1 Minimum age limits may vary by Riding Provider. It is the Customer’s responsibility to ensure that age requirements are met.
5.2 Riders under 18 years of age must be accompanied by a parent or legal guardian, who must sign a liability waiver on the rider’s behalf.
6. Intellectual Property
6.1 All content on the BookaTrot website, including text, graphics, logos, and images, is the intellectual property of BookaTrot or its content partners and is protected by applicable laws. Unauthorized use is strictly prohibited.
7. Disclaimer and Limitation of Liability
7.1 BookaTrot provides its platform “as is” without warranties of any kind. BookaTrot makes no representations regarding the quality, safety, legality, or suitability of any riding experience offered by Riding Providers.
7.2 To the fullest extent permitted by law, BookaTrot shall not be liable for:

Any injury, death, loss, or damage suffered during any riding session;

The conduct or omissions of any Riding Provider;

Technical issues, booking errors, or platform downtime.
8. Indemnification
8.1 Customers agree to indemnify, defend, and hold harmless BookaTrot and its affiliates from any claims, losses, damages, liabilities, legal fees, or expenses arising out of:

Their use of the platform;

Participation in riding sessions;

Breaches of these Terms.
9. Data Protection and Privacy
9.1 BookaTrot processes personal data in accordance with the Privacy Policy. By using the platform, you consent to such processing and warrant that all data provided by you is accurate.
10. Service Modifications and Suspension
10.1 BookaTrot may, at its sole discretion, modify, suspend, or discontinue any part of the platform at any time without prior notice.
10.2 BookaTrot shall not be liable for any resulting losses or inconvenience.
11. Third-Party Websites
11.1 The platform may contain links to third-party websites. BookaTrot does not control or endorse these sites and accepts no liability for their content, policies, or services.
12. Force Majeure
12.1 BookaTrot shall not be held liable for any delay or failure to perform its obligations resulting from events beyond its reasonable control, including but not limited to acts of God, natural disasters, pandemics, or government actions.
13. Entire Agreement
13.1 These Terms constitute the entire agreement between you and BookaTrot regarding the use of the platform and supersede any prior agreements.
14. Business Obligations and Compliance
14.1 Riding Providers must comply with all relevant legal, health, and safety obligations, including regulations from governing bodies such as The British Horse Society or Pony Club.
14.2 BookaTrot reserves the right to remove any business from its platform if:

They breach legal or regulatory obligations;

They engage in misconduct, unsafe practices, or illegal activity;

There is a credible complaint or concern raised by users or authorities.
14.3 BookaTrot may investigate suspected violations and take corrective action, including suspension or permanent removal.
15. Customer Account Termination
15.1 BookaTrot reserves the right to suspend or permanently terminate user accounts for:

Breach of these Terms;

Fraud, abuse, or disruptive behavior;

Misuse of the platform.
15.2 Terminated users will not be entitled to any compensation, credits, or refunds.
16. Severability
16.1 If any part of these Terms is found to be invalid or unenforceable, the remainder shall remain in full force and effect.
17. Waiver
17.1 Any failure by BookaTrot to enforce any provision of these Terms shall not constitute a waiver of that or any other provision.
18. Governing Law and Jurisdiction
18.1 These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales, without regard to conflict of law principles.
18.2 Where the Customer or Riding Provider resides or operates outside the United Kingdom, they agree that any disputes arising from or related to the use of the BookaTrot platform will be subject to the exclusive jurisdiction of the courts of England and Wales, unless otherwise required by mandatory local law.
18.3 Nothing in this section limits BookaTrot’s right to initiate proceedings in any other jurisdiction where the Customer or Riding Provider is domiciled or conducts business, to the extent permitted by applicable law.
19 Acceptable Use Of The Platform
19.1.1 All Users, including Customers and Riding Providers, shall use the BookaTrot platform solely for lawful, legitimate, and authorised purposes in accordance with these Terms and all applicable laws.
19.1.2 Users shall not, under any circumstances:
a. Interfere with, disrupt, damage, disable, or impair the operation, integrity, security, or performance of the platform or any connected network;
b. Attempt to gain unauthorised access to any data, account, system, or infrastructure related to the platform;
c. Upload, transmit, or disseminate any viruses, malware, malicious code, or harmful technological material;
d. Use automated means, including bots, scrapers, spiders, crawlers, or extraction tools, to access or collect information from the platform without prior written consent from BookaTrot;
e. Circumvent, disable, or tamper with any security features, access controls, rate limits, or usage restrictions implemented by BookaTrot;
f. Engage in behaviour that is fraudulent, abusive, defamatory, misleading, unlawful, harassing, or otherwise inappropriate as reasonably determined by BookaTrot.
19.1.3 Any use contrary to the purpose, integrity, or functioning of the platform constitutes a material breach of these Terms.
19.2 Fair Use of Platform Content and Services
19.2.1 Users may access and use platform content only for the purpose of booking, providing, or managing equestrian activities through BookaTrot.
19.2.2 Users agree not to:
a. Copy, reproduce, republish, distribute, modify, translate, display, transmit, sell, or otherwise exploit any content or material from the platform without BookaTrot’s prior written authorisation;
b. Reverse-engineer, decompile, disassemble, or create derivative works from any component of the platform, its software, or its underlying technology;
c. Misrepresent their affiliation with BookaTrot or imply endorsement, partnership, or approval where none exists;
d. Use platform data or content for benchmarking, competitive research, or any commercial purpose unrelated to BookaTrot’s services.
19.2.3 BookaTrot reserves the right to impose limits, restrictions, or suspensions where platform use exceeds reasonable operational thresholds, as determined solely by BookaTrot.
19.3 Compliance with Governing Bodies, Industry Standards, and Regulatory Authorities
19.3.1 Riding Providers warrant and represent that they shall at all times comply with all rules, regulations, standards, codes of conduct, and operational requirements established by any governing body, professional association, or regulatory authority by which they are:
a. Approved,
b. Authorised,
c. Licensed,
d. Accredited,
e. Certified, or
f. Endorsed,
including, without limitation, The British Horse Society (BHS), The Pony Club, local licensing authorities, and any equivalent national or international bodies.
19.3.2 Riding Providers must promptly notify BookaTrot of any suspension, expiration, revocation, investigation, disciplinary action, or alteration in status relating to any approval, licence, certification, or endorsement they hold.
19.3.3 Non-compliance with any applicable rules, codes of practice, safety regulations, welfare obligations, or professional standards constitutes an immediate and material breach of these Terms.
19.4 Rights of Immediate Suspension, Removal, or Termination
19.4.1 BookaTrot reserves the absolute and discretionary right to immediately suspend, restrict, or permanently remove any User where BookaTrot reasonably determines that:
a. These Terms have been breached, including Acceptable Use or Fair Use provisions;
b. Any governing body’s rules, licensing requirements, or safety standards have been violated;
c. The Riding Provider’s conduct poses risk to riders, animals, staff, property, or the integrity of the platform;
d. Continued access to the platform would place BookaTrot at legal, regulatory, financial, or reputational risk;
e. Credible complaints, incidents, or allegations of misconduct, negligence, unsafe practices, or unlawful activity have been received.
19.4.2 BookaTrot may take any action it deems necessary, including:
a. Temporary or permanent removal of listings;
b. Suspension of account access;
c. Termination of accounts without compensation;
d. Reporting the matter to relevant regulatory bodies, insurers, or authorities, where lawful and appropriate.
19.4.3 Users removed, suspended, or terminated under this clause shall not be entitled to reinstatement, financial compensation, refunds, credits, or damages of any kind.
19.5 Cooperation with Investigations
19.5.1 Users must fully cooperate with any internal or external investigation conducted by BookaTrot, regulatory bodies, insurers, law enforcement, or relevant authorities concerning suspected breaches or safety concerns.
19.5.2 Users agree to provide documentation, licences, insurance certificates, welfare records, incident reports, and any other information reasonably requested as part of such investigations.
19.5.3 Failure to cooperate constitutes grounds for immediate suspension or removal.
19.6 Reservation of Rights
19.6.1 BookaTrot reserves all rights to enforce this section to the fullest extent permitted by law.
19.6.2 Nothing in this section limits BookaTrot’s right to seek compensation, damages, or legal remedies in respect of any breach.
